The short answer
January is the month when the most people look for a personal trainer: the New Year's resolution is still fresh and gyms fill up. Trainers who reach January with contract, health history form, prices and invites ready sign those students the same week. Those who leave it for later lose the window to whoever replied first.
Below is the checklist in five blocks. Do one per week in November and December and you start 2027 with everything ready, with nothing left to improvise.
1. Documentation and formalization
- Professional registration up to date: check your annual fee and the expiry of your credentials before January. An expired registration is the first problem in any complaint.
- Registered business: issue invoices, keep your personal and business accounts separate and pay the right tax. What goes into your income tax return is in Income tax for personal trainers.
- Service agreement: price, payment method, no-shows, rescheduling, vacations and cancellation in writing. An annotated template is in Personal trainer contract.
- Image and data consent form: progress photos and health data only with consent. The privacy-law minimum is in Data privacy for personal trainers.
2. A standard intake for every student
Every new student goes through the same path, in the same order:
- Health history form filled in before the first session: health, history, injuries, goal and availability. A script is in Personal trainer health history form.
- Initial assessment with weight, measurements and a consented photo. It is the baseline you will show in March, when the student thinks nothing has changed.
- First workout delivered within 24 hours after the "deal". A student who waits a week for the workout cools off before starting.
If you offer a trial session, decide beforehand what happens after it: an offer the same day, a deadline and a price. The full flow is in A trial session that converts.
3. Prices and packages
- A fixed price list for 2027: monthly, quarterly and, if it makes sense, annual. Setting the price student by student is what erodes your margin the most.
- Price increase for current students announced 30 days ahead, in writing, with the date it takes effect.
- Late payment policy: after how many days access to the workout is paused. A rule agreed in advance doesn't spoil the relationship.
To get to the number, see How to price personal training. To collect payment without awkwardness, How to charge students without losing the friendship.
4. One tool for workouts, billing and follow-up
Spreadsheets, notes and WhatsApp groups work up to about 15 students. After that, one student's workout goes to another, billing runs late and nobody knows who stopped training. Choose now where everything will live and add your current students in November or December, before the January rush.
What to check in any tool:
- The student gets the workout on their phone and checks off what they did.
- Billing goes out on its own and you see who paid without opening your bank statement.
- You spot who is training less often before they cancel.
- Bringing in a new student takes a link, not a ten-field sign-up form.
5. The minimum client acquisition for January
- Professional profile: a bio that says who you work with and how to hire you, with a single link. The formats that bring the most inquiries are in Instagram marketing for personal trainers.
- Referral request to happy students in December, with a clear reward for whoever refers someone. The script is in How to ask for referrals.
- A ready-made message for new leads: price, schedule, how the first week works. A fast reply in January is worth more than a pretty post.
- Student goals: help each student turn the New Year's resolution into something you can measure. See Realistic goals for 2027.
The calendar so nothing is left for January
- November, week 1: professional registration, business registration and contract reviewed.
- November, week 2: health history form and assessment standardized.
- November, week 3: 2027 price list ready and price increase announced.
- December: current students in your management tool and referral request sent.
- First week of January: profile updated and a ready-made message to reply fast.
How Trainer Connect helps
- Health history form e fitness assessment in the app, with each student's history to show their progress.
- Contracts with the price, recurrence and health history linked, generating the student's charges.
- Link invite: you send it on WhatsApp, the student opens it and lands right in the workout.
- Billing and follow-up in the same place, seeing who paid and who stopped training.
- My page: one link for your bio with your services and contact.
You can start free with one student and test the whole flow before January.
